Player information (provided by the parent/guardian for minors): first and last name, jersey number, position, date of birth, team/association, team history, spring teams, photo, known medical conditions/allergies, Instagram link (if provided), and profile details entered during registration.

Parent / guardian / adult participant information: name, email address, phone number, mailing address, and emergency contact details.

Kit and sizing information (where a tournament collects it): name-bar text and jersey/socks/shorts/tee/shell sizes.

Registration records: the tournaments and teams you register for. Where payment is enabled, order history and payment confirmation details; payment card processing is handled by a third-party payment processor and we do not store full payment card numbers.

Waiver, consent, and eligibility records: your agreement to our Waiver/Release, Image Release, and this Policy, along with the date and the name you signed with.

Images and media: photographs and video captured at events, as described in our Image Release.

Technical and usage information: when you use our website, we may automatically collect information such as IP address, device and browser type, and pages viewed through cookies and similar technologies.

Communications: messages, questions, and feedback you send us.

We collect only the personal information reasonable for the purposes described below.

We use personal information to: register players and teams, and administer tournaments, schedules, rosters, brackets, standings, and results; communicate with you about registrations, games, schedule changes, and event logistics; process payments and issue receipts and refunds (where payment is enabled); verify player eligibility and enforce rules and codes of conduct; respond to injuries, emergencies, and safety matters; produce game sheets, programs, awards, and event coverage; promote and market Pathway Hockey and its events, including on our website and social media (consistent with the Image Release and consent choices); maintain records, insurance, and legal compliance; and operate, secure, and improve our Services.

We will not use personal information for a materially new purpose without consent, unless permitted or required by law.

By providing personal information and using our Services, you consent to our collection, use, and disclosure of that information as described in this Policy. Where the information is sensitive or the purpose warrants it, we will seek express consent. Parents/guardians provide consent on behalf of players under 18.

You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our Privacy Contact. Withdrawing certain consents may mean we can no longer provide some or all of the Services (for example, we cannot register a player without the information needed to do so). Withdrawal is not retroactive.

You may also choose whether a player’s profile is displayed publicly on our website. If you do not consent to public display, the public player page shows “Withheld,” and contact information and home address are never shown publicly regardless.

• to service providers who perform functions on our behalf (for example website/registration hosting, database and cloud storage, email delivery, and payment processing), who are authorized to use it only for those purposes;

• to arenas, host facilities, teams, and governing or sanctioning hockey bodies as reasonably needed to run tournaments and confirm eligibility;

• publicly, as part of event operations — for example rosters, jersey numbers, player names, standings, results, and (with consent) profiles and photos on our website and social media;

• in an emergency, to medical personnel or first responders to protect health or safety;

• as required or permitted by law, including to comply with legal process or protect our rights, safety, and property; and

• in connection with a business transaction such as a merger, financing, or sale of assets, subject to appropriate protections.

We do not sell personal information.

Some of our service providers (including our website host, database and cloud storage, email, social media, and any payment platforms) may store or process personal information outside of Alberta or Canada, including in the United States. When personal information is handled in another jurisdiction, it may be subject to the laws of that jurisdiction, including lawful access by courts and government authorities. We use service providers that offer a reasonable level of protection. You may contact our Privacy Contact for more information about our use of service providers located outside Canada.

We use reasonable physical, organizational, and technological safeguards appropriate to the sensitivity of the information to protect it against loss, theft, and unauthorized access, use, or disclosure. No system is completely secure, and we cannot guarantee absolute security.

We keep personal information only as long as reasonably necessary to fulfill the purposes it was collected for and to meet legal, insurance, accounting, and reporting requirements, after which we securely destroy, delete, or anonymize it.

Our website may use cookies and similar technologies to operate the site, remember preferences, and understand usage. You can usually manage cookies through your browser settings; disabling some cookies may affect how the site works. If we use analytics tools, they help us understand aggregate usage and improve the Services.

Subject to certain legal exceptions, you have the right to access the personal information we hold about you and be told how it has been used and to whom it has been disclosed; and to request correction of information that is inaccurate or incomplete.

To make a request, contact our Privacy Contact. We may need to verify your identity, and (for players under 18) requests are generally made by the parent/guardian. We will respond within the timelines required by PIPA. We may charge a reasonable fee for access requests where permitted, and will tell you of any fee in advance.

Registrations and consents for players under 18 are provided by a parent or legal guardian. We do not knowingly collect personal information directly from children without parental/guardian involvement. If you believe a child’s information has been provided to us without appropriate consent, please contact us and we will address it.

Our Services may link to or rely on third-party websites and platforms (for example social media, arena sites, or payment providers) that have their own privacy practices. We are not responsible for the privacy practices of third parties, and we encourage you to review their policies.

We may update this Policy from time to time. The “Last updated” date shows when it was last revised. Material changes will be posted on our website, and where appropriate we will provide additional notice. Your continued use of the Services after an update means you accept the revised Policy.
